Planning & Executing BAC’s Annual Color in Motion Arts Festival: A Project Management Perspective

For over 40 years, BAC’s Color in Motion Arts Festival has brought creativity, inclusion, and artistic exploration to more than a thousand students with differing abilities across Brevard County. Behind the vibrant art stations, music, movement, and zoo experiences lies a highly coordinated, year-round project management effort that transforms a multi-day festival into a seamless, impactful, and mission-driven event.

This presentation offers an inside look at the project management framework that powers Color in Motion—from initiation and stakeholder alignment to logistics, risk mitigation, volunteer coordination, accessibility planning, and post-event evaluation. Using last year’s festival as a case study, we will walk through the annual planning cycle, highlight key deliverables and success drivers, and demonstrate how structured processes ensure safety, inclusivity, and a meaningful experience for more than 1,400 attendees, 96 classrooms, and hundreds of volunteers.

Attendees will gain practical insight into how BAC leverages project management principles to execute a complex, multi-stakeholder event that celebrates creativity while advancing the developmental goals of students with disabilities. This session will offer actionable strategies that can be applied to large-scale community programs, nonprofit events, and inclusive initiatives across sectors.
